When to consider outsourcing
Outsourcing makes sense when: (1) the work is operational but not core to your competitive advantage, (2) you’re spending more time managing than doing strategic work, (3) workload is variable and hiring full-time staff doesn’t make sense, (4) you need specialised skills temporarily, or (5) you’re scaling and need flexible capacity.
Cost considerations
Compare total cost of in-house (salary, benefits, pension, management time, tools, training and recruitment) against outsourcing (a quoted rate for agreed output, with none of that overhead). Whether the second number is smaller is a question about your rates and volumes, not an industry constant — so build both sides on the same basis before you decide.
Risk mitigation
Choose a partner with: UK-based oversight for accountability, documented workflows for consistency, quality checks built in, confidentiality agreements, and flexible terms so you can scale up or down.
Transition planning
Start with a pilot project or free sample. Document your current processes. Provide clear requirements. Set measurable KPIs. Schedule regular check-ins during the first 3 months.

ROI Calculator Guide
How to calculate the return on investment for outsourcing. Includes formulas, examples and benchmarks to help you build a business case.
View calculations
In-house cost calculation
Formula: (Hourly rate × Hours/month) + Benefits (25-35%) + Management overhead (10-15%) + Tools & systems + Training costs
Example: £25/hour × 160 hours = £4,000 + 30% benefits (£1,200) + 12% management (£480) + £200 tools = £5,880/month total
Outsourcing cost calculation
Formula: Hourly rate × Hours/month (no additional overhead)
Example: £20/hour × 160 hours = £3,200/month total
Savings calculation
Formula: (In-house cost – Outsourcing cost) ÷ In-house cost × 100
Example: (£5,880 – £3,200) ÷ £5,880 × 100 = 46% saving on these figures
The £25 and £20 hourly rates above are placeholders chosen to show the method, not market prices or a quote. Substitute your own payroll cost and the rate you have actually been quoted — if the in-house side is not loaded with benefits, management time and tools, the comparison is rigged before it starts.
Additional benefits
- Scalability without hiring/firing
- Access to specialised skills
- Reduced management burden
- Flexible engagement terms
- Quality assurance built in
